Things You Need to Know
Our YMCA has policies in place for the benefit, safety and welfare of our members, guests and our organization. All policies are approved by the YMCA Board of Directors.
Code of Conduct
We ask individuals to act in a manner that upholds these principles at all times when they are in our facility or participating in YMCA programs. We expect those using the YMCA to behave in a way that shows respect and caring for others, which includes not using any language or engaging in any action that can hurt or frighten another person or that falls below a generally accepted standard of conduct. Actions not showing respect for others and are not permitted include:
- Wearing inappropriate attire. Attire must include swimsuits only in the pool area; shoes, shorts and shirt or leotard in other areas of the facility. Clothing with vulgar or profane writing or pictures is not allowed.
- Using angry or vulgar language; swearing, name calling or shouting.
- Making physical contact with another person in an angry or threatening way.
- Engaging in sexual activity or contact with another person.
- Harassment or intimidation with words, gestures, or body language.
- Behavior which is inappropriate, threatening or offensive in nature.
- Stealing or behavior which results in destruction of property.
- Carrying or concealing devices or objects which may be used as weapons.
- Using or possessing illegal chemicals or alcohol on YMCA property or in vehicles.
- Smoking. All YMCA facilities and grounds offer a smoke free environment.
The YMCA conducts regular sex offender screenings on all members, participants, and guests. If a sex offender match occurs, the YMCA reserves the right to cancel membership, end program participation, and remove visitation access.
Members and guests are encouraged to be responsible for their personal well-being. Feel free to ask any person to refrain from any activity that threatens your comfort. If the situation needs additional assistance, YMCA staff are always available.
The Branch Executive will investigate all reported incidents. If the Branch Executive determines a violation of this Code of Conduct has occurred, suspension or termination of YMCA membership privileges as stated in YMCA policy may result.
Credits, Refunds, and Overdrafts
If the YMCA cancels a program or if the participant has a medical excuse, a credit or refund will be made. Programs not held on holidays or due to inclement weather are not refundable. System credits are good for one year from the date of issue. ALL refunds and system credits will require a 24-hour waiting period.
Returned checks and bank drafts will be assessed a $35 processing fee. All checks will be processed as Electronic Funds Transfer payments.
The YMCA will always put the safety of our members, program participants and staff first when inclement weather poses a threat. This includes adjusting or canceling scheduled hours of operation, programs and/or special events as needed.
We are committed to keeping our three YMCA branches in Madison and Sun Prairie open during regularly scheduled open hours. However, we will close in the interest of safety during extreme weather events. Our three branches will close when:
- Madison Metro bus service stops due to hazardous travel conditions
- The sustained wind chill is -35º F or colder
We operate many programs inside and outside our three YMCA branches, and many factors are involved in the decision-making process regarding program cancellation during extreme weather events. Many of our off-site programs operate in local school district-owned facilities, and when schools close, we lose access to those buildings and programs cannot run. Our program-closure guidelines include:
- If the Madison Metropolitan School District cancels or closes school due to inclement weather, YMCA programs and classes scheduled at the Madison East and West YMCAs and at any MMSD facilities are canceled.
- If the Sun Prairie Area School District cancels or closes school due to inclement weather, YMCA programs and classes scheduled at the Sun Prairie YMCA and at any SPASD facilities are canceled.
- When any other school district cancels school and YMCA programs or classes are scheduled at facilities in that district, those programs are cancelled. For instance, if the Verona Area School District cancels school, After School Child Care at Glacier Edge Elementary is canceled.
- When inclement weather occurs and school is not in session, the YMCA of Dane County leadership team will make determinations about any closings or cancelations and share that information as widely as possible, as quickly as possible.
REMEMBER: Whenever an inclement weather event occurs, please check our web site, social media apps and YMCA mobile app for updates.

Hybrid Declaration for HIPPA
August 15, 2019
The YMCA of Dane County, Inc. was incorporated in 1886. It is a member of the YUSA national organization. There are three locations in Dane County that serve the greater Madison, Wisconsin service area. This YMCA is a traditional "Y" with numerous programs for fitness, aquatics and overall health improvement.
Chronic Disease Based programs
We offer Chronic Disease Based programs in partnership with the YUSA. These include Diabetes Prevention, Livestrong Cancer and Pedaling for Parkinson's programs. We also participate in Exert, a University based Alzheimer's program. In order to participate in the Diabetes program we have secured a National Provider ID number. These Chronic Disease based programs put us in the position of likely being a "health care provider" and a "covered entity" subject to the rules and regulations of HIPAA.
Standard Fitness and Well Being Oriented Programs
Notwithstanding the above, the overwhelming majority of the programs and activities we offer on behalf of members and program participants are basic fitness oriented activities not meeting the definition of work performed by a "health care provider". Thus, these programs and activities should not be subject to the specific rules and regulations of HIPAA. Examples of these programs include, but are not limited to, the following:
Sports (basketball, soccer, volleyball, football, lacrosse, track, swim, pickleball)
Fitness (BodyPump, Boot Camp, Cycling, Insanity, Strength, Yoga, Zumba, Personal Training, Crossfit, Nutrition Classes)
Special Events (Friday night at the Y, seasonal festivals, birthday parties)
Youth Programs (Youth in Government, Karate, Dance, Gymnastics)
Child Care (Early Childhood Education, Licensed Preschool, School Age Care, Camps) Adaptive (Intellectual and developmental disability activities - Day programs, Special Olympics, Bowling, Basketball, Dinner & Movie Outings
Hybrid Declaration for HIPAA Purposes
In conducting some programs that may be subject to HIPAA and others that would not, the YMCA of Dane County would qualify as a “Hybrid Entity” under HIPAA.
We hereby confirm the YMCA of Dane County’s declaration that it shall operate as a Hybrid Entity for the purposes of compliance with the rules and regulations of HIPAA. Specifically, we will treat the Chronic Disease Based programs listed above as being subject to HIPAA compliance, whereas the Standard Fitness and Well Being Programs are Not subject to HIPAA compliance.
All memberships and membership fees are non-refundable and non-transferable.
Termination of membership must be done in person at any Dane County YMCA and must be done by the 25th of the month prior to the next draft date. This does not pertain to Annual Monthly Memberships.
Termination of an Annual Monthly Membership can only be requested within two months of the renewal date and must be done in person at any Dane County YMCA.
For further questions, call or visit the Member Services Desk at any Dane County YMCA loaction.
